In this guide

AI meeting assistants transcribe your calls and produce summaries and action items, reducing the need to take notes manually. For a small business the real decision is rarely transcription alone. It is how the tool captures meetings (a bot that joins the call or a bot-free app), what the free plan allows, what each extra seat costs, which tools it connects to, how long recordings are kept, and what the vendor does with your meeting data.

This guide compares Fireflies.ai, Fathom, Granola, tl;dv, MeetGeek, Avoma and Otter.ai using official vendor pricing, security and help pages checked on October 6, 2026. Our ratings are DealSifted editorial assessments, not customer-review averages or hands-on test results. Recording-consent rules vary by place, so tell participants before you record and check local law.

A Closer Look at Each Provider

Trusted
Fireflies.ai logo

Fireflies.ai

Best Overall

Fireflies.ai is the most complete all-rounder here. Even the free plan offers unlimited transcription, though summaries and storage are limited, and Pro adds unlimited AI summaries, 8,000 minutes of storage per seat, video recording and unlimited integrations. Business adds unlimited storage, conversation intelligence and team analytics. Fireflies also supports bot-free capture through its Chrome extension for Google Meet.

Its privacy position is clear: Fireflies states meeting content is not used to train AI models, describes third-party processing as zero-data-retention after processing, and states SOC 2 Type II, GDPR and HIPAA compliance. Data is stored and processed in the United States by default, and private storage is an Enterprise feature.

The main caution is pricing language. Paid plans separate some advanced AI usage into AI credits, so unlimited transcription and summaries do not mean every advanced AI action is unlimited. Test it on a real meeting and check the credit rules before rolling it out.

Pros

  • Widest all-round feature and integration set in this shortlist
  • Unlimited transcription even on the free plan
  • Clear statement that meeting content is not used for AI model training
  • Custom retention controls for organizations

Cons

  • Advanced AI actions can consume separate AI credits, so paid plans are not unlimited for every AI feature
  • Free plan has only 400 minutes of storage per team and limited AI summaries
  • Default data processing is in the United States; private storage requires Enterprise
Choose this if
You want one tool for transcription, summaries, action items, search and team sharing across several people and several meeting platforms. You can also use its Chrome extension for bot-free capture in Google Meet.
Consider another option if
You need your data stored outside the US without moving to Enterprise private storage.

Free $0. Pro $10/user/month billed annually or $18 monthly. Business $19/user/month annually or $29 monthly. Enterprise $39/user/month annually. Some advanced AI features use separate AI credits. Pricing checked 2026-10-06; confirm current terms with Fireflies.

Fathom logo

Fathom

Best Free Option

Fathom is the most generous free option in this shortlist: the free plan includes unlimited recordings and transcriptions and AI call summaries, with limited advanced AI usage. Official help documentation lists unlimited transcription in 38 languages on Free.

Paid plans add team search, folders and comments (Team) and CRM field sync, Deal View, coaching metrics and custom summaries (Business). Capture is bot-based, with bot-free capture in beta for Mac.

Privacy needs careful wording. Fathom states SOC 2 Type II, HIPAA and GDPR compliance and that its third-party AI subprocessors are contractually prohibited from training on user data. However, Fathom itself may use de-identified customer data to improve its proprietary AI models, with an opt-out. Data is stored in the United States.

Pros

  • Unlimited recordings and transcriptions on the free plan
  • Low entry price on paid Team plan
  • Documented SOC 2 Type II, HIPAA and GDPR compliance
  • Clear CRM and coaching features on Business

Cons

  • May use de-identified customer data to improve its own AI models (opt-out available)
  • Data is stored in the United States
  • Bot-free capture is a Mac beta
  • Team and Business plans have a 2-user minimum
Choose this if
You want to start with AI meeting notes at no cost, or you are a very small team that can live within the free-plan limits.
Consider another option if
You need a guarantee that your data is never used for any model improvement, or you need non-US data storage.

Individual Free $0. Premium $16/user/month billed annually or $20 monthly. Team $15/user/month annually or $19 monthly (2-user minimum). Business $25/user/month annually or $34 monthly (2-user minimum). Enterprise: contact sales. Pricing checked 2026-10-06; confirm current terms with Fathom.

Granola logo

Granola

Best Bot-Free Meeting Assistant

Granola's differentiator is how it captures meetings: it runs on your device and does not add a bot, which many clients find less intrusive. The desktop app works with meeting platforms generally, including Zoom, Google Meet and Microsoft Teams, and the mobile app is designed for in-person meetings.

On privacy, Granola states SOC 2 Type II and GDPR compliance and does not store meeting audio. Desktop transcribes in real time, and mobile may temporarily cache audio for processing without retaining it. Third-party AI providers are not allowed to train on customer data, but Granola says it may train on anonymized data, with an opt-out on every plan. Notes are private until shared, and data is stored in a US-hosted AWS VPC.

Basic is free with limited meeting history. Business unlocks unlimited history, advanced AI and integrations such as HubSpot, Notion, Attio, Affinity and Zapier. Bot-free capture is not unique to Granola, since tl;dv, MeetGeek and Fathom (Mac beta) also offer it in some form, but Granola is built around it. Do not choose it for EU data residency.

Pros

  • No bot joins the call
  • Works for in-person meetings via mobile
  • Does not store meeting audio
  • Notes private by default
  • Business tier adds CRM-style integrations and Zapier

Cons

  • Basic plan has limited meeting history
  • May train on anonymized data unless you opt out
  • US-hosted; not an EU data-residency option
  • Language count not stated in our sources
Choose this if
You want no visible bot in your meetings, or you take a lot of in-person and ad hoc meetings.
Consider another option if
You need EU data residency, or you want a long, unlimited meeting history without paying for Business.

Basic $0/user/month. Business $14/user/month. Enterprise $35/user/month. Pricing checked 2026-10-06; confirm current terms with Granola.

tl;dv logo

tl;dv

Best for Privacy / EU Teams

tl;dv has the strongest EU and privacy positioning in this shortlist. Its current security materials state that meeting data is stored and processed in Europe, that users can choose EU or US AI hosting, and that customer data is not used to train AI. It also states SOC 2 Type II and GDPR compliance.

The free plan includes unlimited recordings and transcription with AI and storage limits, and recent official material documents free-plan retention of up to 3 months. Pro adds unlimited AI notes, custom templates, global search, CRM and workflow automation, and API access. Business adds multi-meeting intelligence and sales or coaching features.

It supports Zoom, Google Meet and Microsoft Teams, with bot recording or a bot-free desktop option. Because plan limits have changed over time, check the current pricing page rather than older articles.

Pros

  • Meeting data stored and processed in Europe
  • Choice of EU or US AI hosting
  • States customer data is not used to train AI
  • Bot and bot-free options
  • Free plan with unlimited recordings

Cons

  • Free-plan retention is limited (up to 3 months in recent official material)
  • Plan packaging has changed over time, and some older vendor articles are out of date
  • Multi-meeting and coaching features sit on Business
Choose this if
You are in or serve the EU and want meeting data stored in Europe with a stated no-AI-training policy.
Consider another option if
You need long retention on a free plan, or your priority is a deep sales or CRM workflow.

Free $0. Pro $18/seat/month billed annually or $29 monthly. Business $29/seat/month annually or $39 monthly. Enterprise: custom. Pricing and limits have changed over time, so confirm on the current pricing page. Checked 2026-10-06.

MeetGeek logo

MeetGeek

Best Value for Automation

MeetGeek earns its Best Value for Automation position through low paid pricing and workflow depth. Pro costs $9.99 per user per month billed yearly and includes AI agents and workflows, Zapier, Make and n8n connections and unlimited integrations, though transcription is capped at 20 hours a month. Business adds unlimited transcription and transcript storage, 12 months of video storage, team spaces and analytics. MeetGeek advertises more than 10,000 connected apps via automation platforms and a public API.

It is also a stronger bot-free competitor than many assume, with a desktop option alongside bot recording. It supports Zoom, Google Meet and Microsoft Teams, and its privacy page states transcription and summarization in more than 100 languages.

Privacy is a strength: SOC 2 Type II, GDPR and HIPAA/BAA support are stated, recordings, transcripts and summaries are not used to train AI models, and users can choose EU or US data residency. The free Basic plan is small: 3 hours of transcription a month and 3 months of transcript storage.

Pros

  • Low per-seat pricing on Pro and Business
  • Strong automation and workflow integrations
  • Bot and bot-free capture
  • EU or US data residency choice
  • States recordings and transcripts are not used to train AI

Cons

  • Free Basic plan is capped at 3 hours of transcription a month with short storage
  • Pro is capped at 20 hours of transcription a month
  • Zero retention and on-premise storage are Enterprise features
Choose this if
You want notes and action items to flow automatically into other tools at a low per-seat price, and you may want EU data residency.
Consider another option if
You need a free plan with generous monthly transcription, or you want a sales-specific platform.

Basic: free. Pro $9.99/user/month billed yearly or $15.99 monthly. Business $17/user/month yearly or $27 monthly. Enterprise: custom. Pricing checked 2026-10-06; confirm current terms with MeetGeek.

Avoma logo

Avoma

Best for Sales Teams

Avoma's clearest reason to be on this list is sales and revenue workflow depth. Startup starts at $19 per recorder seat per month billed annually and includes unlimited AI Meeting Assistant use, automatic video recording, real-time transcription, AI summaries, follow-up emails and CRM note saving. Organization includes limited Conversation Intelligence and adds AI automations, translated transcription and notes, and API access.

Budget carefully: the fuller Conversation Intelligence package, Revenue Intelligence and Lead Router are separately priced add-ons, and there is no free plan, only a 14-day Organization trial. Viewers and collaborators are free.

Avoma explicitly states it does not use customer data to train its models and describes a DPA. Retention policies, SSO, access controls and HIPAA compliance features are part of Enterprise.

Pros

  • Clear sales and revenue workflow depth
  • CRM note saving from the entry plan
  • Free viewers and collaborators
  • States customer data is not used to train its models

Cons

  • No free plan (trial only)
  • Organization includes limited Conversation Intelligence; the fuller Conversation Intelligence package and Revenue Intelligence are separately priced add-ons
  • Pricing is per recorder seat and higher than general-purpose tools
  • Retention policies and HIPAA features are Enterprise-level
Choose this if
Your team runs sales or customer-success calls and wants meeting notes tied to CRM records and a route to coaching and revenue intelligence.
Consider another option if
You want a low-cost general note taker for internal meetings.

Per recorder seat: Startup $19/month billed annually or $29 monthly. Organization $29 annually or $39 monthly. Enterprise $39/month, annual only. Viewers and collaborators are free. Organization includes limited Conversation Intelligence. The fuller Conversation Intelligence package, Revenue Intelligence and Lead Router are separately priced add-ons. A 14-day Organization trial is advertised. Checked 2026-10-06.

Otter.ai logo

Otter.ai

Best for Live Transcription

Otter.ai is the pick for readers who want text while the meeting is happening. The free Basic plan includes live transcription, speaker identification, Zoom, Teams and Google Meet support, AI Chat and mobile apps, within 300 monthly transcription minutes. Pro raises that to 1,200 in-app recording minutes with up to 90 minutes per meeting; Business offers unlimited meetings, up to 4 hours per meeting and three concurrent meetings.

Privacy deserves attention. Otter states SOC 2 Type II and GDPR-aligned practices and says it does not sell customer data, and content is stored in AWS in the United States. However, its June 16, 2026 Privacy Policy permits proprietary-AI training on de-identified audio recordings and on transcriptions that may contain Personal Information. HIPAA use requires the appropriate Enterprise arrangement and BAA.

If live captions and notes in the moment matter most, Otter is a strong fit. If your data policy forbids any model training, read the privacy policy before enabling it.

Pros

  • Live transcription while the meeting is happening
  • Mature mobile and real-time workflow
  • Free plan with 300 monthly minutes
  • Low annual price on Pro

Cons

  • Privacy policy allows training its proprietary AI on de-identified audio recordings and on transcriptions that may contain Personal Information
  • Free and Pro plans have minute and per-meeting caps
  • US-hosted data
  • HIPAA use requires an Enterprise arrangement
Choose this if
You want a live transcript during the call and a polished mobile experience.
Consider another option if
Your policy rules out any AI training on meeting content, including de-identified audio recordings and transcriptions that may contain Personal Information, or your priority is workflow automation or sales analytics.

Basic: free. Pro $8.33/user/month billed annually or $16.99 monthly. Business $19.99/user/month annually or $30 monthly. Enterprise: contact sales. Pricing checked 2026-10-06; confirm current terms with Otter.

How we compare

DealSifted compared official vendor pricing pages, product documentation, help articles and security or privacy pages as of October 6, 2026. We looked at pricing, free plan, transcription, AI summaries, integrations, platform support, languages, collaboration, privacy and security, retention and ideal user. Ease of Use reflects how straightforward the documented setup and day-to-day workflow appear for a typical small team. Value for Money weighs current pricing against included limits, automation, collaboration and administrative features. Overall reflects our editorial assessment of small-business fit across usability, value, capabilities, privacy and flexibility. We did not test these products hands-on, and these scores are DealSifted editorial judgments rather than customer-review averages. Pricing and plan limits change frequently, so confirm current terms with each vendor before buying. Where our sources did not state a detail, we say so rather than guess.

How we chose these seven

We chose seven established AI meeting assistants that serve distinct small-business needs: an all-rounder (Fireflies.ai), a free starter (Fathom), a bot-free option (Granola), an EU and privacy option (tl;dv), an automation-focused option (MeetGeek), a sales-focused option (Avoma) and a live-transcription specialist (Otter.ai). We kept products with documented plans, security information and a clear reason to exist on the list, rather than adding names to pad the count. Read.ai is a reasonable alternative if you mainly want meeting analytics or coaching, but it does not have a full card in this edition. Each label is an editorial positioning, not a claim that the product wins on every criterion.

Comparison at a glance

Free plan: Fireflies.ai has one with unlimited transcription but limited AI summaries and 400 minutes of storage per team. Fathom's free plan has unlimited recordings and transcriptions. Granola Basic has limited meeting history. tl;dv Free has unlimited recordings with AI and storage limits. MeetGeek Basic gives 3 hours of transcription a month. Otter Basic gives 300 monthly minutes. Avoma has no free plan, only a 14-day trial.

Capture method: Granola is bot-free; tl;dv and MeetGeek offer both bot and bot-free desktop options; Fathom offers bot capture and bot-free capture in beta for Mac. Fireflies.ai supports bot-free capture through its Chrome extension for Google Meet. Our sources do not document the capture method for Avoma or Otter.ai, so check the vendor.

Entry paid price (billed annually, per seat per month): Otter Pro $8.33, MeetGeek Pro $9.99, Fireflies.ai Pro $10, Granola Business $14 (listed price), Fathom Team $15, tl;dv Pro $18, Avoma Startup $19. Plans are not like-for-like, so compare features, not just price.

Privacy, data training and retention

Privacy claims differ materially, and retention and data residency are separate from security certifications.

Fireflies.ai, MeetGeek and tl;dv state that customer meeting data is not used to train AI models. Avoma states it does not use customer data to train its models. Fathom says third-party AI subprocessors may not train on user data, but it may use de-identified customer data to improve its own models, with an opt-out. Granola says third-party AI providers may not train on customer data, but it may train on anonymized data, with an opt-out on every plan. Otter's June 16, 2026 Privacy Policy permits proprietary-AI training on de-identified audio recordings and on transcriptions that may contain Personal Information.

Data location: tl;dv states meeting data is stored and processed in Europe, with a choice of EU or US AI hosting. MeetGeek offers a choice of EU or US data residency. Fireflies.ai (private storage is Enterprise-only), Fathom, Granola and Otter state US storage.

Retention examples: MeetGeek Basic keeps 3 months of transcripts, tl;dv's free plan up to 3 months, and Fireflies.ai offers custom deletion controls for organizations. Granola does not store meeting audio. Always read each vendor's own policy before enabling a tool company-wide.

Bot or no bot?

Bot-free capture is no longer a one-product category. Granola is built around it, while Fireflies.ai (Chrome extension for Google Meet), tl;dv, MeetGeek and Fathom (Mac beta) all document a bot-free option in some form. A visible bot can prompt useful consent conversations but can feel intrusive with clients. A device-based app avoids that but depends on the person running it. Decide this before comparing price.

Buying guidance

Start with consent: tell participants before recording and check the rules where you and your participants are located. This is not legal advice. Next, check whether your existing stack already includes AI meeting features, such as in Zoom, Google Workspace or Microsoft 365, before buying a separate service. Then try a free plan or trial on a real meeting, because quality depends on your audio and accents. Check retention if you need records for months, and read the data-training language if you handle client-sensitive work. Finally, price your actual headcount, remembering that Fathom's Team and Business plans have a two-user minimum, Avoma charges per recorder seat with free viewers, and Fireflies.ai uses separate AI credits for some advanced features.

Frequently asked questions

Which AI meeting assistant has the best free plan? Fathom's free plan includes unlimited recordings and transcriptions, which is the most generous in this guide. Check its limits on advanced AI usage.

Which tool works without a bot joining the call? Granola is built that way. Fireflies.ai (Chrome extension for Google Meet), tl;dv, MeetGeek and Fathom (Mac beta) also have bot-free options.

Which is best for EU teams? tl;dv states meeting data is stored and processed in Europe. MeetGeek offers EU or US data residency. Granola is not an EU data-residency option.

Which is best for sales calls? Avoma, which is built for sales and revenue workflows. Fathom Business and Fireflies.ai Business also add CRM and conversation features.

Which is best for live transcription? Otter.ai.

Do these tools train AI on my meetings? It differs by vendor; see the privacy section above.

Is it legal to record meetings? Consent rules vary by jurisdiction. Notify participants and check applicable law. This is not legal advice.

Our final recommendation

Most small teams should start with Fireflies.ai as the Best Overall pick, while checking its AI-credit rules. If budget is the constraint, try Fathom's free plan first. Choose Granola if you want no bot in the room, tl;dv if EU data handling matters, MeetGeek if you want low-cost automation, Avoma if you run sales calls, and Otter.ai if live transcription matters most. Whichever you pick, run a trial on one real meeting before rolling it out.
