Receipt apps can save a freelancer from typing every purchase into a spreadsheet, but the useful differences are easy to miss: some have small monthly scan allowances, some connect directly to accounting software, and others are built around employee reimbursements or an accountant’s workflow.
We compared Zoho Expense, Wave Receipts, Expensify, Shoeboxed, Veryfi Expense and Dext using each provider’s official US-facing product, plan and help pages. The guide focuses on solo users and very small businesses. It does not quote dollar prices, and we have not personally tested these services.

A Closer Look at Each Provider
Zoho Expense is the strongest starting point for a freelancer who wants expense records, receipt extraction and mileage in one system. Zoho’s US plan comparison lists a free plan for up to three users, with 20 receipt Autoscans per user each month and 5 GB of receipt storage. The listed paid tiers raise the monthly Autoscan allowance, with line-item capture on paid tiers.
The product accepts receipts through web and mobile workflows, turns extracted details into expenses, and supports spreadsheet exports. Zoho documents QuickBooks Online and Xero connections, but feature availability can depend on plan and configuration. Check the US plan matrix before relying on a particular accounting export.
This is an expense-management app rather than a complete US tax filing service. Review extracted records and keep source receipts.
Pros
- Free tier for up to three users
- 20 Autoscans per user each month on the free tier
- US plan comparison documents exports and integrations
Cons
- Paid scan allowances and integrations vary by tier
- More workflow than a receipt-only user may need
- Accounting connections require setup and plan eligibility checks
- Choose this if
- You want a free tier with a stated monthly scan allowance, mileage and structured expense reports.
- Consider another option if
- You only need a minimal receipt folder or want every accounting integration without checking plan eligibility.
The US offering includes a free plan and paid tiers. Monthly and annual billing options are available; scan allowances and integrations differ by tier. Dollar prices are omitted because they can change.
Wave Receipts makes the most sense when your books already live in Wave. You can capture a paper receipt in the mobile app, upload it in a browser, or forward a digital receipt. Wave attaches receipt files to transactions and can use scanned details to create or match bookkeeping entries.
The receipt-scanning feature is paid for each business profile, or included in Wave Pro. Wave’s US help center lists monthly and annual billing choices. Its product page advertises unlimited digital receipt uploads; the reviewed page does not publish a separate monthly scan quota. Confirm the current plan and account eligibility before subscribing.
Wave is its own accounting environment. The official materials reviewed here do not establish a direct QuickBooks Online or Xero sync for the Receipts plan, so choose it for Wave-based books rather than as a neutral receipt-to-accounting bridge.
Pros
- Receipt capture connects directly to Wave bookkeeping
- Wave advertises unlimited digital receipt uploads
- Separate Receipts subscription if you do not need broader Pro
Cons
- Subscription is per business profile
- Receipt scanning is not part of the free Starter plan
- Useful mainly if Wave is already your bookkeeping system
- Choose this if
- You already maintain business transactions in Wave and want receipts attached to those records.
- Consider another option if
- You use QuickBooks or Xero and need a documented direct sync, or expect receipt scanning to be free.
US customers can choose a monthly or annual Receipts subscription, or use the broader Pro plan that includes scanning. Each business profile is billed separately. Dollar prices are omitted; check Wave’s current US billing page.
Expensify’s personal account can be a capable free starting point: its current Help Center says personal users can SmartScan unlimited receipts, track distance, enter expenses manually and export CSV or spreadsheet files on the web.
The boundary is bookkeeping depth. Categories, tags, reimbursement automation, accounting integrations and the Expensify Card require a paid workspace. Expensify describes free Submit as an option for individual employees who need to submit expenses to an approver; Collect is the more relevant path when a small organization needs accounting connections such as QuickBooks or Xero. Check workspace terms before moving from personal tracking.
For a solo freelancer who needs searchable receipts, mileage and periodic CSVs, free personal use may be enough. If you need coded books or direct accounting sync, compare the paid workspace and setup against Zoho, Wave or Veryfi.
Pros
- Free personal SmartScans are unlimited per Expensify Help
- Free users can track distance and export spreadsheets
- Mobile and web capture
Cons
- Free tier lacks categories, tags and accounting integrations
- Accounting connections require paid workspace
- Free Submit is built around submitting to an approver
- Choose this if
- You want free receipt capture, distance tracking and web CSV exports, and can organize data yourself.
- Consider another option if
- You need expense categories or QuickBooks/Xero sync without paying for a workspace.
Expensify has a free personal workflow and paid Collect and Control workspaces. Accounting integrations are paid-workspace features. The official materials describe per-member monthly billing and annual options; dollar amounts are omitted.
Shoeboxed is the clearest choice for someone with boxes of paper receipts, not just email receipts and phone photos. Its plans combine digital uploads with optional mail-in processing through Magic Envelopes. The current pricing page publishes separate digital and paper scan allowances, and all listed plans include mileage tracking. The entry plan’s paper allowance is much smaller than its digital allowance, so check both counters if you expect to mail receipts regularly.
Shoeboxed advertises automatic data extraction and human-verified handling for its scanning service. Its current plan table lists CSV and audit-oriented reports on the entry tier, while QuickBooks Online and Xero integrations appear on higher Pro and Plus tiers. Verify the tier before assuming a direct accounting sync is included.
It is more specialized than a typical expense app. That can help with physical paperwork, but may be more than a freelancer needs if every receipt is already digital.
Pros
- Combines digital capture with physical mail-in processing
- Every current plan includes mileage tracking
- Scan limits and overage rules appear on pricing page
Cons
- No free plan listed; monthly or annual billing
- Paper scans are capped and may incur extra charges
- Accounting integrations are not on every tier
- Choose this if
- You need digital capture and mailed paper receipt processing, plus mileage tracking.
- Consider another option if
- You only have a few digital receipts or need accounting sync on the entry tier.
Shoeboxed offers monthly and annual plans with different digital and paper scan quotas. Excess scans and Magic Envelope use may cost extra. Dollar amounts are omitted; compare the current plan table and both counters.
Veryfi’s Expense Management App turns receipts and other expense documents into structured records. Its official plan page describes OCR for receipts, bills and invoices, and distinguishes the expense app from the separate OCR API product. Do not apply the API’s price or document allowance to this app.
The official Help Center documents a free app plan capped at 10 scans per month, six-month retention, limited web access and CSV-only simple reporting. Veryfi’s product guide documents a 300-document monthly allowance per active user on the paid app, QuickBooks Online and Xero integrations, fuller reporting and options to buy more scans. The plan page offers monthly and annual billing and a trial; verify the current US checkout terms.
Veryfi is a fit when automated extraction and an app-first workflow matter more than a generous free allowance. Check included documents, the active-user definition and extra scan pack terms before committing.
Pros
- Free and paid scan limits are documented
- Extracts data and supports expense reports
- Paid app connects to QuickBooks Online and Xero
Cons
- Free plan has low cap and limited web portal
- Paid plan is per active user; extra scan packs available
- App and API pricing pages describe different products
- Choose this if
- You want mobile-first OCR and expect to connect expenses to QuickBooks Online or Xero.
- Consider another option if
- You need many free scans or want to avoid per-user subscription limits.
Veryfi offers a free plan, 14-day trial and paid monthly or annual subscriptions. The free app allows 10 scans per month; the paid app is documented at 300 documents per active user/month, with extra scan packs. Dollar prices are omitted; verify checkout and distinguish app pricing from API pricing.
Dext is bookkeeping automation with receipt capture rather than a simple stand-alone US freelancer scanner. Its US business product supports expense and document workflows, and Dext documents a self-employed setting for US and Canadian client accounts. Business accounts accept uploads through web, mobile, email and other channels, extract and categorize fields, and publish to more than 36 accounting integrations.
The tradeoff is how it is bought and used. Dext’s public US pricing page directs businesses to discuss bespoke pricing, while the Help Center says extraction stops when the monthly document allowance is reached until the next bill date or a plan change. An accountant can pay under a practice subscription, or the business can manage billing. Confirm the exact US plan, allowance, export path and renewal term before adopting it.
Do not confuse Dext Solo with a US freelancer plan. The current Solo workflow is for UK practices and UK MTD clients. Dext may suit a US freelancer whose bookkeeper already uses Dext, but is less transparent for a solo buyer choosing independently.
Pros
- Broad capture and accounting publishing support
- US self-employed client setting is documented
- Business or accountant practice billing
Cons
- US pricing is bespoke on public page
- Monthly document caps can pause extraction until renewal or upgrade
- Dext Solo is only available through UK practices for UK MTD
- Choose this if
- Your bookkeeper already uses Dext or you need multi-channel capture and accounting publishing.
- Consider another option if
- You want transparent self-serve US pricing and a clearly stated receipt quota.
Dext US business pricing is bespoke on the public page. Plans have monthly document allowances, and billing can be managed directly or through an accountant. Dext Solo is UK-practice-only. Dollar amounts and a generic scan cap are omitted; ask for a current US quote and included allowance.
How we compare
We reviewed official US product pages, pricing comparisons and help-center documentation on October 24, 2026. We checked US availability, plan and billing structure, receipt capture, stated OCR or scan allowances, exports, mileage and accounting integrations. Where a provider’s public page did not state a quota or tier condition clearly, we say so and recommend confirming it before subscribing. The guide intentionally omits dollar prices because plans and promotions change.
Ratings are DealSifted editorial assessments on a five-point scale, not customer-review averages and not the result of hands-on product testing. Ease considers the steps and systems a solo user must manage. Value considers free allowances, scan caps, exports and useful accounting workflows. Overall reflects fit for the US freelancer use case across those documented factors.
What freelancers should compare
Start with the receipt allowance, not the headline feature list. A free plan with a small cap may work for occasional purchases, while unlimited capture may still require manual categorization or CSV cleanup. Check whether the counter applies per user, per business or per month, and whether unused scans roll over.
Next, match exports to your bookkeeping workflow. A CSV is portable but may need cleanup. A native QuickBooks or Xero connection can save steps, but may be limited to paid tiers. Wave keeps receipts inside Wave’s own accounting records. Dext can be more useful when a bookkeeper already manages the account. If you need mileage, confirm that trip logging is included in the plan you intend to use.
Receipt capture and tax advice are different things. OCR can reduce data entry, but extracted amounts and categories can still need review. Keep original records and confirm tax treatment with a qualified professional when needed.
Frequently asked questions
Do I need a paid plan to scan receipts? Not always. Expensify documents unlimited SmartScans for personal accounts, and Zoho Expense has a free tier with a stated monthly Autoscan allowance. Veryfi also has a free app tier, but its receipt cap is small. Wave’s receipt scanning is paid.
Which app includes mileage tracking? Expensify, Shoeboxed and Zoho Expense document mileage or distance tracking. Confirm plan eligibility and whether tracking is manual or automatic. Wave Receipts is not presented here as a mileage tracker.
Can these apps replace QuickBooks or Xero? Most are expense capture or pre-accounting tools, not full accounting replacements. Wave Receipts is designed to feed Wave bookkeeping. Zoho Expense, Expensify, Shoeboxed and Veryfi document accounting integrations on eligible plans. Dext is most useful when its integration and billing arrangement fit your accountant’s workflow.
How should I choose between scan limits and OCR? Estimate monthly receipt volume, then compare included scans and overage rules. OCR can save typing, but check extracted records yourself. Avoid paying for a large allowance or team workflow you will not use.
